Sponsor Participation Requirement
To ensure safety, compliance, and a high-quality experience for all families, all Entertainment Zone participants (including bounce houses, inflatable play areas, gaming buses, and interactive attractions) must meet the following basic requirements. Final approval is subject to venue rules and CHILL ACT policies.
1. Insurance Requirements

Vendor must carry general liability insurance appropriate for their activity.

Minimum coverage typically required: $1,000,000 per occurrence .

CHILL (Children’s Health, Inclusion, Learning & Leadership) must be listed as Additional Insureds.

Proof of insurance (COI) must be submitted prior to event approval.
2. Liability Waiver

Vendor must provide a participant liability waiver for all children and participants using their equipment.

Waivers must be parent/guardian-signed for minors.
-
Digital or paper waivers are acceptable, subject to approval.

Vendor is fully responsible for waiver collection and recordkeeping.
3. Safety & Supervision
-
Vendor must provide trained staff to supervise and operate equipment at all times.

Equipment must be commercial-grade, well-maintained, and compliant with safety standards.

Clear safety instructions and usage rules must be visibly displayed.

Vendor is responsible for crowd control within their designated area.
4. Equipment & Setup Approval

All equipment (bounce houses, inflatables, gaming buses, play structures, etc.) must be pre-approved by CHILL ACT.

Final placement and operation are subject to venue rules and fire marshal approval.

Power requirements, space dimensions, and load-in/load-out logistics must be submitted in advance.

Outdoor or motorized units must comply with venue access rules.
5. Compliance With Venue Rules

All activities are subject to the rules and regulations of the event center.

Noise levels, power usage, anchoring, flooring protection, and fire safety regulations must be followed.

CHILL ACT reserves the right to restrict or modify activities that do not meet venue compliance.
6. Indemnification & Responsibility

Vendor assumes full responsibility for their equipment, staff, and participants.
-
CHILL ACT is not responsible for injuries, damages, or losses arising from vendor operations.

Any damages to venue property caused by vendor equipment will be the vendor’s responsibility.
7. Final Approval
-
Participation in the Entertainment Zone is subject to final approval by CHILL ACT and the event venue.

Submission of documents does not guarantee approval until confirmation is issued in writing.
